Shipment management

Shipment management, with a person accountable

Shipment management coordinates information, deadlines and responsibilities, so you know what is confirmed, which open item needs action and who needs to decide.

Who is shipment management for?

When does a shipment need management?

When information is scattered across messages and different document versions, a team may act on an old date or discover an open item close to its deadline. Management brings the shipment context together and connects each change with its impact, required action and owner.

This service fits when:

How does shipment management work?

  1. 1

    Map the operation

We identify the shipment reference, scope, providers and follow-up milestones. You and your partners define information sources, contacts, documents and owners for supplying, checking and approving each item.

  2. 2

    Organize documents and open items

We check the documents included in our scope for inconsistent cargo or consignee details and flag corrections before submission. Approval stays with the named owner. We share the available documents and the carrier, booking and container references covered by your scope, and identify anything still pending.

  3. 3

    Connect deadlines and schedules

We follow the agreed document and cargo deadlines. Where free-time follow-up is included, the scope defines which deadlines we track, when advance alerts are sent and who arranges collection and empty return. Missing or changed dates are flagged for follow-up.

  4. 4

Communicate decisions and close the cycle

We consolidate operational changes with their action, owner and available time. Follow-up continues to the agreed closing milestone, with any remaining open items identified for the corresponding owner.

What does the scope cover?

Management may include follow-up of documents, schedules, cutoffs and communication of agreed milestones. We coordinate information within the contracted scope. Transport execution, authority actions and commercial decisions remain with their owners; the contract must define the limits of the role.

Who does what?

What do you need to request shipment management?

Send what you have. If anything is still undecided, tell us what is missing.

Operation. The route, cargo, current stage and shipment or booking reference, if one exists.

Follow-up needs. The legs, documents and milestones to follow and the intended point of completion.

Available sources. Known schedules, deadlines and documents, identifying the source and version.

Contacts and decisions. Providers, operational contacts and who approves documents, plan changes and costs.

What happens after you hire?

How long does it take and what affects the cost?

Follow-up may begin during preparation and continue to the end of the contracted scope. Duration depends on the shipment cycle and actual open items. The communication routine, covered milestones and closing point are agreed when contracting; material changes are handled according to their impact and the required decision.

What affects the cost?

Example: a schedule change while documents are pending

Situation. A shipment already has a booking, but the schedule changes while the team is still approving documents.

How we help. We check the available information, relate the change to cutoffs and identify affected documents and decisions. The update brings together the change, its impact and what each owner needs to confirm.

What management provides. A consolidated position for a decision: what changed, what remains valid and which action is due first. An outstanding approval remains visible until the responsible party responds.

What does a consolidated update look like?

Frequently asked questions

How is shipment management different from tracking?

We use transport milestones as part of follow-up. Management also connects documents, deadlines, owners and decisions; knowing the cargo's location alone does not show whether an approval or action is still missing.

Can I use carriers I have already contracted?

We can assess follow-up with providers you have already selected. The scope depends on access to information, cooperation between the parties and defined responsibilities and role limits.

Does Sync Port approve documents on my behalf?

We act only within expressly agreed responsibilities. Issuing, checking, approval and submission need defined owners for each document; following an open item does not automatically transfer approval authority.

How are shipment changes communicated?

We organize the change with the available source, its impact, required action, deadline and owner. The follow-up routine is agreed when contracting, taking account of information already communicated and decisions the operation requires.

When does shipment management end?

We close follow-up at the milestone defined in the contracted scope. Remaining open items and responsibilities should be identified before closure. Loading, arrival and delivery are different milestones; the agreement needs to specify which one closes the service.

Want a clear view of your shipment?

Gather the shipment details you have. We assess the requirement, clarify what is still missing and define the scope with you. A person answers by the next business day at the latest.
